Candidate Profile
Mica are seeking a trained or experienced professional to join the co-operative on a part time basis. The successful candidate will have a good general level of IT literacy and at least an intermediate skill level with Microsoft Excel. They should be a confident administrator able to completed delegated tasks on a self-directed basis and not afraid to ask questions when requiring support. They will have good time management skills to ensure tasks are completed to varying deadlines and enjoy working in a small office environment.
Knowledge of the DIY sector is an advantage.
The role will also involve travelling on occasion for training and attending meetings other than the office and therefore a full clean drivers license would be beneficial.
General Purpose
We are looking for an experienced Administrator to support the production of Mica’s promotional campaigns and undertake administration duties to enable timely completion those promotions such that they are sourced, presented for selection, produced, distributed and launched successfully.
Main duties and responsibilities
1. Monthly Meeting preparation
a) Contact relevant suppliers seeking promotional special offers via email / telephone
b) Review offers and seek improvements/amendments as required
c) Price check offers
d) Source information not provided to better inform the meeting (i.e. missing images)
e) Review pre selections and advise meeting
f) Produce meeting agenda & selection list template
g) Upload advance documents to Mica website & advise potential attendees
2. Post Meeting Production
a) Receive meeting selections and feedback to suppliers on selections as appropriate
b) Produce order sheet for each featured supplier and issue with sign off sheet
c) Confirm sign off of all suppliers including as necessary follow-up
d) Complete additional details on monthly promotional document
e) Receive sign off from colleagues of finished document
f) Print copies & post to membership, also issue digitally via website
g) Proof consumer artwork produced by marketing from document, and advise corrections and improvements
3. Other Administrative Duties
a) Maintaining an annual record of promotional feedback, attendees and participation, with information supplied as appropriate from monthly meetings.
b) Conducting timely reviews of Mica’s supplier data to ensure the information held is up to date
c) Contacting suppliers as appropriate via telephone and email to refresh the data
d) Providing other administration assistance where necessary – e.g. prepare materials for Mica’s annual conference.
e) Perform other duties which may reasonably be assigned by your line manager or director.
4. Other Responsibilities

· Administration – 2 years
· MS Excel – Intermediate skill level
· General IT literacy – be comfortable with Microsoft systema and able to learn new systems quickly
· Time management to ensure different tasks are completed to varying daily/monthly/specific deadlines
