Position: Personal Assistance to MD – Part-time
Location: Manchester
Salary: TBC
Working Arrangement: Office or homeworking (4 days a week in the office)
Contract: Part-Time, Permanent. Hybrid after successful 12 week probation.
Shifts: 20 hours per week, Monday – Friday, between 10:30am to 4:30pm

Role Summary: As a Personal Assistant/Adminnistrator Officer at Rent For Me, you will play a crucial role in ensuring the smooth operation of the Director’s daily activities and the overall efficiency of the office. This multifaceted role includes managing communications, coordinating schedules, assisting with property management tasks, and handling various administrative duties. You will be a proactive, organized, and adaptable individual who thrives in a dynamic environment and can handle multiple tasks with professionalism and ease. The individual is expected to use a high degree of self-management and initiative and can maintain a high level of confidentiality.
Responsibilities:
Office Related:
• Assist with filing, binding, and presenting documents.
• Act as the communication point between tenants, landlords, and the company (announcements, events, etc.).
• Assist with general ad hoc duties as required.
• Manage email communications.
• Arrange and schedule meetings.
• Create presentations.
• Update CRM systems.
• Maintain employee record files.
• Liaise with tenants to arrange maintenance.
• Submit Reports to HMRC for Landlords
Accounting Skills:
• Submit payroll monthly.
• Submit director’s expenses monthly.
• Submit timesheets monthly, recording employee/contractors’ leave requests.
• Reconciliation
• Payments
• Sending out invoices
• Submit Documents to HMRC
Project Related:
• Review/create Minutes of Meetings (MoMs) & agendas.
• Manage project document control and track project-related documents meticulously.
• Prepare and maintain budgets.
• Handle invoicing/payment approval processes.
• Track invoices accurately.
• Distribute reports and documents as required to clients.
• Take notes during meetings.
Other Responsibilities:
• Assist with research and development.
• Create/Update SoP.
• Draft terms and conditions (T&Cs) for new clients.
• Update website with new properties.
Person Specification:
• At least 5 years of experience in a PA/EA role.
• Ability to use initiative and take ownership of tasks with limited supervision.
• Flexible and adaptable.
• Ability to deal with last-minute changes and remain calm and level-headed.
• Ability to pick up new tasks and systems quickly.
• Professional demeanor.
• Flexible timetable, Monday to Friday.
Job Types: Part-time, Permanent
Pay: £22,712.00-£23,563.00 per year
Expected hours: 20 – 40 per week
