Job Overview

The Data Validator plays a key role in supporting Managers and Clinical Leads to achieve National

and Trust wide performance targets in accordance with Government Access Targets and the Trust’s

Patient Access Policy.

You will be responsible for the daily data validation tasks ensuring that reports are reviewed and any

actions are passed to staff working within Gynaecology for correction and completing.

You will be responsible for checking and confirming data from the Careflow patient administration

system and other patient systems within the speciality, including tasks like clearing up admission

dates in the past, appointments that have not been checked in and out, and investigating patients

who have been waiting longer than their treatment targets.

You will play an essential role within the service and are required to work in close liaison with NHS

colleagues, patients and the general public.

This is very much a patient centric role and the individual will be a team player with excellent

communication skills and be organised in their daily work.

You will exercise initiative, independent judgement and decision-making with situations arising from

the duties described below to ensure an effective, high quality service

Main duties of the job
• To download and validate weekly/monthly reports on the department’s performance provided by information management;
• To assist in the completion of data validation tasks on a weekly/monthly basis;
• To regularly check and ensure that closure of uncashed outpatient appointments are completed correctly and in a timely manner;
• To regularly check and clear up admission dates in the past;
• To regularly check the care of patients whose waiting times have exceeded targets to verify that

information has been recorded correctly and to facilitate further care where needed;
• To check care pathways where information has been recorded as missing and obtain the required information;
• To assist staff in the department in the use of Careflow and other departmental systems to prevent data quality issues arising;
• To assist with other data quality and validation issues facing the department, as required.
• To ensure that patient confidentiality is maintained at all times;
• To assist in the training of new members of staff in the department;
• To work flexibly according to the needs of the service, including cover for colleagues during

periods of leave, where applicable;
• To work with colleagues to appropriately manage the office environment, including resource

management in terms of stationary and general office upkeep;
• To ensure Division protocols are implemented within own work area and to contribute to

suggested changes as required;

Detailed Job Description And Main Responsibilities

Knowledge
• Understanding and consistent application of NBT’s Patients Access Policy;
• Application of gained knowledge and experience of medical terminology and procedures

undertaken by assigned Consultants and clinical teams;
• Understanding of patient confidentiality, data protection and freedom of information

policies as they relate to patient care administration;
• Understanding of the importance of and ability to trace medical records to ensure that all

relevant clinical information is available;
• Able to demonstrate commitment to the provision of high quality care and service.

Training/Qualifications
• Five GCSEs grade C or above including Maths and English or equivalent;
• Sound knowledge of RTT pathways and the Patient Access Policy.

Experience
• Good attention to detail and completion of tasks to deadlines;
• Able to carry out tasks following instructions with minimal supervision;
• Experience in a customer facing role is desirable;
• Experience of working in a team is essential;
• Experience of working in an administration environment is essential;
• Experience of working in the NHS or similar organisation;
• Experience of working in a multi-disciplinary and busy team environment;
• Experience of working under pressure;
• Experience of working to fixed protocols and procedures;
• Experience of talking to patients/service users or working in customer focussed

environment;
• Knowing when to escalate issues to managers for advice and/or resolution
• Experience of using and manipulating excel spreadsheets.
